This Privacy Policy explains how FineLearn LLC ("FineLearn", "we") collects, uses and protects personal information in connection with our websites and our products FineLearn Studio and FineLearn Hire.
1. Our role
- Controller: for information about visitors to our websites, people who request a demo or contact us, and the business contacts of our customers.
- Processor or service provider: for personal information our customers put into the Services, such as employee and learner records in FineLearn Studio and candidate applications in FineLearn Hire. In that case we process it on the customer's instructions, and the customer's privacy notice applies.

3. How we use information
- To provide, secure, maintain and support the Services.
- To respond to demo requests and communicate with customers and prospects.
- To improve our websites and Services using aggregated or de-identified information.
- To comply with legal obligations and enforce our agreements.
Where the GDPR or UK GDPR applies, we rely on legitimate interests, performance of a contract, consent (for example for optional cookies or marketing) and legal obligation.
4. AI processing
AI features process Customer Data to produce outputs such as course drafts, translations, candidate summaries and match scores for the customer who requested them. We do not use Customer Data to train general-purpose AI models made available to other customers. Candidate match scores do not use protected characteristics, and hiring decisions are made by the customer's people.
5. Candidates and learners
If you applied for a job through a careers site powered by FineLearn Hire, or took training assigned through FineLearn Studio, the organization you applied to or work for controls your information. Please contact them to exercise your rights. We will support them in responding.
6. Sharing
We share personal information only with service providers (sub-processors) that help us run the Services, such as hosting, email delivery and AI model providers, under contracts that protect it; with integrations you or your organization enable; when required by law; or in connection with a merger or acquisition. We do not sell personal information.
7. International transfers
Where personal information is transferred outside the country where it was collected, we use appropriate safeguards such as the European Commission's Standard Contractual Clauses.
8. Retention
We keep personal information for as long as needed for the purposes above. Customer Data is retained according to the customer's settings and agreement, and deleted after the end of the subscription in line with our retention practices.
9. Security
We protect personal information with encryption in transit and at rest, access controls, logging and monitoring. FineLearn is SOC 2 Type II certified.
10. Your rights
Depending on where you live, you may have the right to access, correct, delete or port your personal information, to object to or restrict certain processing, to withdraw consent, and to complain to a data protection authority. California residents have rights under the CCPA and CPRA, including to know, delete and correct information and to not be discriminated against for exercising these rights. 11. Children
The Services are intended for businesses and are not directed to children under 16.
12. Changes
We may update this Privacy Policy. We will post the new version here and update the date above, and notify customers of material changes.
